How Project Stages Turn into Real Tasks and Inspections (Linked Actions)

Linked actions allow you to configure the creation of tasks and inspections in the QVALON system based on project stages. The configuration is performed when creating a plan element or editing it. See the article "How to Create an Element/Stage in the Plan" for more details.

When a project is launched, these actions can automatically create real tasks and inspections for executors (QVALON users). Their completion is automatically reflected in the project, so the plan stays up to date without manual updates.

Linked actions can be configured at the project template level. In this case, the structure and logic of the actions are preserved, but tasks are not actually created until a specific project is launched.

They can also be configured directly in the project itself. In this case, tasks and inspections will be immediately assigned and launched.

This allows a project to be used either as a planning tool or as a full execution management mechanism


Action Type

The following options are available:

  • Not required
  • Complete a task
  • Complete an inspection

Important

When configuring the standard plan in a project template, tasks and inspections are not created and are not assigned to executors.

The template only defines the rules and parameters of future tasks and inspections.

Actual tasks and inspections will be automatically created only after a project is created from this template, according to the project plan settings.


Action Type: "Complete a Task"

If this option is selected, a task will be automatically created in QVALON when the stage begins.


Task Type

The task type determines the execution format and available settings.

Task Type: "General"

This type is used to assign standard tasks without special execution requirements.

Available settings:

Task Name
The name under which the task will appear to the executor.
Optionally, you can enable "Same as plan element name", in which case the task name will automatically be taken from the stage name.

Description
Text explaining what needs to be done.
Optionally, you can enable "Same as plan element description".

Priority
The importance level of the task: urgent, high, medium, or low.

Allow starting the task before the planned date
Determines whether the executor can begin working on the task before the scheduled start date.

Attachments
Files can be added:

  • from My Drive in QVALON
  • from the user's computer

Comment requirement
If enabled, the executor cannot complete the task without leaving a comment.

Attachment requirement
Allows you to require file attachments for the task.
The minimum number of attachments defines how many files must be added.

Restrict uploading attachments from the gallery
Limits the source of uploaded files.

Completion confirmation
Requires additional confirmation of task completion.

Allow delegation
Allows the task to be transferred to other users.


Task Type: "Photo Report"

This type is used when the stage completion must be confirmed with photographs
(for example product display, equipment condition, or work results).

Available settings:

Task Name
The name displayed to the executor.
Optionally, enable "Same as plan element name".

Description
Text explaining what must be captured in the photo.
Optionally, enable "Same as plan element description".

Priority
Urgent, high, medium, or low.

Allow starting the task before the planned date

Attachments
Files can be added:

  • from My Drive in QVALON
  • from the user's computer

Minimum number of photos
Defines how many photos must be attached to complete the task.

Comment requirement

Catalog selection
If necessary, a catalog can be connected from which the executor must select a value
(for example defect type or facility area).

You can select an existing catalog or create a new one using the plus button.
For each dictionary value, you can configure the minimum number of photos and whether a comment is required.

Restrict uploading photos from the gallery
Limits the source of photos (for example allowing only camera capture).

Allow delegation


Task Type: "Survey"

This type is used when answers to predefined questions must be collected during a stage
(for example condition assessment, fact confirmation, or feedback collection).

Available settings:

Task Name
Displayed to the executor.
Optionally enable "Same as plan element name".

Description
Instructions or explanation for completing the survey.
Optionally enable "Same as plan element description".

Priority
Urgent, high, medium, or low.

Survey Category (required)
Defines which survey will be available to the executor.
Then select the survey template.

Attachments

Files can be added:

  • from My Drive in QVALON
  • from the user's computer

Task Notifications

In the Task Notifications section you can configure who will receive notifications and through which channels when task-related events occur.

For each event you can specify recipients and notification channels separately
(email and/or push notifications).

Available events:

  • Task created - notification is sent when the task is assigned
  • Task updated - when task parameters change (deadlines, description, executors, etc.)
  • Deadline reached - if the task is not completed on time
  • Task completed - when the task is marked as completed
  • Task returned to work - if a completed task is returned to the executor
  • Task taken into work - when the executor starts working on the task

Recipients can include:

  • Task author
  • Executor
  • Observers (if assigned)

Notifications help monitor task execution and respond promptly to status changes.


Action Type: "Complete an Inspection"

The linked action "Complete an inspection" is used when the result of a stage must be confirmed by completing a checklist inspection.

When the stage begins, the corresponding inspection will automatically be assigned to the executor
(if they are a QVALON user).

Available settings:

Inspection Template (required)
Select the checklist template that will be used for the inspection.

Then click Save.

After saving the plan element, an icon will appear in the Type column of the table indicating the type of linked action for the stage (task and its type or inspection).
