Where to start

Step 1. Set your goals

Before starting with QVALON, it would be a good idea to set goals. Think about what exactly is expected to be achieved with QVALON. Here are some examples:

  • Improve the training and qualifications of employees.

  • Raise the effectiveness of business processes.

  • Foster customer loyalty.

Step 2. Select objects you want to inspect

This is the way to appreciate the real benefits of using the system.

In this case, it will be possible to compare the results of using QVALON in a store with the results for the same period of last year.

In this case, it will be possible to compare metrics based on the results of using QVALON in stores of similar characteristics.

After that, set up the organizational structure of the company in the system.

Step 3. Determine participants of inspections

  • A group of executors (managers of inspected objects).
  • A group of inspectors (employees who will carry out inspections).
  • A group of reviewers to validate the results of inspections (external consulting, employees of independent organizations, secret shoppers).

Add all inspections participants to the system (read more about it here).

Step 4. Define audit metrics

It is necessary to determine how to measure the progress of achieving the goals. For example, the training and qualifications of personnel can be measured by conducting tests, or, if the goal was to foster customer loyalty, then that can be tracked by CSI & VoC rates.

The performance of the company's departments can be measured by financial KPIs. In that case, it is advisable to choose metrics (KPIs) that are less susceptible to the influence of external factors and depend on the operational performance of the personnel, such as AVC (Average Variable Cost), UPT (Units Per Transaction), CR (Conversion Rate), NPS (Net Promoter Score), etc.

Step 5. Create checklists

Checklists should be created depending on the goals you want to achieve. Note that every goal you have determined before should have its own checklist.

Learn more about creating checklists here.

Step 6. Determine the frequency of inspections

For each checklist, a suitable frequency of inspections is needed.

Inspections on routine, regular operations (e.g. store opening & closure, cleanliness check, etc.) should be carried out daily.

Inspections on durable operations (e.g. sanitary documents check, keeping logs of fire safety, and labor protections) should be carried out less frequently: weekly, monthly, annually.

Step 7. Plan an inspection

If you have already created checklists as mentioned in step 5, follow the instructions in here to plan an inspection.

Step 8. Download the app

Inspectors can use the mobile app on any smartphone.
