How to create an organizational structure

The first step to make QVALON operational for your company, is to create the company’s organization structure. To ensure that everything operates correctly, it is strongly recommended that the organization structure is created as per the information provided in this article below.

1) Create divisions

A division is the top level of a company's organizational structure. A large retail network can consist of many divisions. The QVALON system requires at least one division created within it to function.

Divisions are used to divide entities as their type of business, area of operation, and other criteria.

To add a new division, open the Administration section in the website and enter the Org. structure subsection. Then switch to the Divisions tab and click on the Create division button.

You will then see the menu to create a New division.

Enter a division name and save it using one of the buttons in the bottom right corner of the menu.

If a new division is saved using this button, the system will notify that a division is created successfully. The menu will not close and it will be possible to create another new division right away.

It might be convenient to use this button to create many divisions in a row.

If a new division is saved using this button, a new division will be created and the menu will close.

2) Create regions

A region is the middle level of a company's organizational structure. Regions include stores which are the lowest organizational structure level represented in the system.

To add a new region, open the Administration section in the website and enter the Org. structure subsection. Then switch to the Regions tab and click on the Create region button.

Enter a name for the new region and choose a division in which you want to include it. To save a new region, click on one of the buttons in the bottom right corner of the menu.

If a new region is saved using this button, the system will notify that a region is created successfully. The menu will not close and it will be possible to create another new region right away.

It might be convenient to use this button to create many regions in a row.

3) Create stores


A store is the lowest level of a company's organizational structure represented in the system and serves as the main entity on which checks are conducted.

To add a new store, open the Administration section of the website and enter the Org. structure subsection. Then switch to the Stores tab and click on the Create store button.

Name

Enter a name of a store.
For example, Maint st. Book Store.

Is active

Choose the store status. An active store is a store that is operating.

Region*

Choose a region from the drop-down list.

Division

Fills automatically according to the region you have chosen.

City

Enter the city name where the new store is located.

For example, Sacramento.

Store Number*

Enter a number that is not yet present in the system.

For example, if there is a store number 1, then create a new store with any number except for 1.

Address

Enter a street name and house number.

For example, Maint St., 25.

Latitude, Longitude*

Fills automatically according to the city and address entered.

After all the required fields have been filled, click on one of the buttons in the bottom right corner of the menu.
