Checklists are a great tool to ensure and assess the execution of business processes and company standards.

You can either create a checklist template right in QVALON or import it from an Excel file.

Manage Templates

Navigate to Inspections → Checklists registry to manage your checklist templates.


Description of elements


Categories can be used to sort templates by their theme or area of application. To add new categories, navigate to Administration → Catalogs and edit the catalog named Checklist categories.

This feature may be unavailable by default. Please contact your account manager to enable it.


You can search for templates by their name.


Only active templates are displayed by default.

Disable this filter to view inactive templates.

You can click this button to import a template from Excel. Download the import template and check the Rules_of_filling page for instructions.
You can click this button to create a new template.
You can click the view more button next to the template to:
  • Edit or edit the template.
  • Configure access to the template.
  • Add photo hints to questions.
  • Download the PDF or Excel version of the template.

You can click the Edit button to open this menu.

Click the view more button next to the template and select Edit from the dropdown menu to view and edit the template.



In this field, you can edit the name of the template. To do it, enter the new name and click the floppy disk button to save changes.

This feature may be unavailable by default. Please contact your account manager to enable it.


You can activate or deactivate the template using these buttons. Inactive templates will be hidden from the list of templates by default, but they can still be viewed by turning off the Active only filter.

Although you cannot completely delete a template, deactivating it effectively serves the same purpose: users cannot create new inspections with deactivated templates, and they are not displayed in the list of templates unless you are specifically looking for them.


Questions can be sorted by the process they are linked to or by zones, which you can create individually in each template.


You can use this button if you want to add a question that already exists in the Processes registry.


Click this button if you want to create a new question and add it to the template


This button removes selection from all questions.



This button deletes the selected questions from the template.


You can click this button to import the checklist from Excel. Download the import template and check the Rules_of_filling page for instructions.



You can configure what types of answers will be available for each question. If you want to add custom answers, see How to create custom answers.



If an inspector selects a negative answer to a question with this option, the score for the whole process will be set to 0, regardless of what answers were given to other questions in the same process.

This option prevents users from finishing inspections without answering the question.



You can use this option if you don't want tasks to be created when a negative answer was given to this question.



This option allows inspectors to manually set deadlines for tasks derived from this question. If this option is not enabled, the deadline specified in the Days for fixing field will be used instead.

How to create a checklist?

1) Navigate to Inspections → Checklists registry and click Add.


You can also click the Upload from Excel button if you want to import a checklist from Excel. Download the import template and check the page Rules_of_filling for further instructions.

Give your checklist a name and click Create.

After that, you should add questions to the checklist. To do that, click the view more button and select Edit.



2) Open the Processes registry in a new tab

Create blocks and processes and add questions to them.

  • 3) After you've finished adding questions to the Processes registry, return to the checklist and click Add existing question.


    Find the process you've added your questions to and click it.



    Select all the questions you would like to add to your checklist and click Add questions at the bottom of the screen.


    4) Configure the properties of the questions.






    You can configure what types of answers will be available for each question. If you want to add custom answers, see How to create custom answers?.

    5) Assign the checklist to users so they can create inspections with the checklist template you've just created.

    Navigate to Inspections → Checklists registry and click the name of the checklist. On the tab Assign group of recipients, you can select departments and groups that should be able to use this checklist.


    How to configure the properties of a checklist?

    Navigate to Inspections → Checklists registry and click the name of the checklist. On the Properties tab, you can configure the checklist.

    When this property is enabled, photos can only be attached to tasks directly from the camera. Please note that enabling this property also makes it impossible to complete a task in the web app.

    Manager's comment is required

    If enabled, tasks derived from inspections using this checklist cannot be completed without a comment.

    Аccess to edit the template

    You can configure which users will have editing access to this checklist. Note that you can only grant such access to users if they have the Edit assigned templates role active in their profile.

    Inspector’s comments

    You can configure in which situations a comment is required to finish an inspection.

    One of the following options can be selected:

  • Not required
  • Required for negative answers
  • Required for positive answers
  • Always required
  • Customizable for each question
  • Answer “Irrelevant“

    You can allow your inspectors to mark questions as irrelevant to the inspection they conduct.
    One of the following options can be selected:



  • Available for all questions
  • Unavailable
  • Always required
  • This may be useful if the checklist contains questions that cannot be applied to some of your objects.
    If an inspector marks a question as irrelevant, that question will be skipped and not taken into account in score calculation.




    Attachments in inspection tasks

    This property defines whether attachments are required in tasks derived from inspections using this template. Three options are available:

    • Required
    • Not required
    • Customizable for each question

    Need review





    If enabled, inspections will be reviewed after completion.

    Reviewers can comment on inspections and change answers to correct mistakes made by inspectors.

    If this property is enabled, users will be able to decide on their own whether the inspection they create should have a review stage.

    Disallow upload attachments from gallery during passing inspection

    When this property is enabled, photos can only be attached to inspections directly from the camera. Please note that enabling this property also makes it impossible to complete an inspection in the web app.

    Set filling time interval

    This option allows you to set a time interval during which inspections using this checklist can be carried out.

    How to grant editing access to a checklist?

    Navigate to Inspections → Checklists registry and click the name of the checklist you would like to give editing access to. Then, open the Properties tab and click Configure Access.


    In the Configure Access menu, you can give editing access to other users. To do that, find the desired user and switch on the Allowed button. Please note that you can only grant such access to users if they have the Edit assigned templates role active in their profile. Refer to Users if you need more information on editing user roles.


    How to use the search?

    You can search for checklists by entering a part of their name into the search box.


    You can also change the number of checklists displayed on one page at the bottom left corner of the screen.



    How to create custom answers?

    If standard answer types do not suit your question, you can create your own. To do that, find the question you would like to add a custom answer to and select Assign your answers as an answer type.

    Add the desired number of answers and enter their names. Users will be able to use these answers when answering the question during their inspections.

    Set a coefficient for each answer and choose whether a task should be created if this answer option is used.

    The coefficient of the answer indicates what percentage of the question weight will be scored when the answer is selected.

    Consider the following example:


    • Answer option Yes scores 10 points.
    • Answer option 1-2 entries missing scores 5 points.
    • Answer option 3+ entries missing scores 0 points.
