General description

The Tasks module allows to create tasks of various types and track their execution. Currently, there are four types of tasks

  • Photo reports
  • General tasks
  • Issues
  • Surveys

Photo reports, general tasks, and surveys can either be created manually or automatically, according to periodic task generation rules.

When working with a task, there are three user roles

  • a task author is a user who has created a task (more info here)
  • an executor is a user assigned to execute a task (more info here)
  • an observer is a user assigned to track task execution and remind the author and executors about deadlines of their tasks

The author decides whether a task needs an observer or not. A user who is a task author can also be an executor of the same task. Observers can be assigned to both individual tasks and group tasks. In case an observer is assigned to a group task, the hierarchy rules take effect.

EXAMPLE

An author created a group task Z for store X in region X and store Y in region Y and assigned two observers, regional manager X, and regional manager Y. According to hierarchy rules, regional manager X will observe only for the task of store X and will be unable to track the execution of the task of store Y.

Hierarchy rules do not apply to tasks assigned to individual users. When creating such tasks, the author can make any user of any level an observer.

By default, users can only assign tasks to users with lower level than theirs. Therefore, a user with level Company can assign tasks to all users of the system. A user with level Division can create tasks for any user with Region or Store level within their division

This logic can be changed by any administrator in the system properties.

If the store director conducts a self-check, they will be both the author and executor of the tasks. This means the director will be responsible for addressing any issues found during the inspection.

The task list has 5 tabs that filter tasks based on your role in them. If needed, you can view the full list of tasks by going to the All tab.

The task card contains general information about the task:

  1. Task priority: Urgent / High / Medium/ Low
  2. Current task status: New / In progress / Completed
  3. Task person
  4. Task creation date
  5. Task due date
  6. Task ID
  7. Number of attachments

Tasks can be sorted by date set, deadline, due date, and priority. The default sorting is Optimal, which displays tasks with an upcoming deadline and high priority first.

On the right side of the screen there is a filter menu:
  1. Filter by task creation date

  2. Filter by task status (new, in progress, completed


  3. Filter by task type (General, checklists, surveys, photo reports)





  4. Filter by task priority (Urgent, High, Medium, Low)

  8. Filter by objects/regions/divisions where tasks are performed

  9. Filter by checklist template from which verification tasks are created
