Telegram notifications on tasks

Telegram notifications help you to keep track of your tasks in QVALON.

Notifications come in the form of messages from a Telegram bot you can add to one of your work chats.

To enable notifications, you should

1) Create or use an existing Telegram bot.

2) Add the bot to the channels/groups/chats where you want notifications to appear.

3) In the settings, enter the IDs of Telegram channels and groups.

Notification settings

Telegram notifications settings can be configured by any system administrator in the Integration/Telegram tab.

Primary activation of notifications

Specify an API token.

To illustrate, consider bot5112808506:AAFGQSBLXQZnf4vJaaoM_1gx1t32412Q5po

It means that you should add "bot" to the left part of your API token.

For example, you have an API token t5112808506:AAFGQSBLXQZnf4vJaaoM_1gx1t32412Q5po. It means that you should enter bot5112808506:AAFGQSBLXQZnf4vJaaoM_1gx1t32412Q5po in the API token field.

You can either use the token of an already existing bot or create a new one.

2) Set the format of the task creation and overdue task messages.

You can enter any text you want. Here are the dynamic system keys you can use in your notifications:

  • %%task_id%% - task ID,
  • %%task_title%% - task title,
  • %%task_deadline%% - task deadline,
  • %%task_description%% - task description.

For instance, a task creation message can look like this:

A new task has been assigned to your store: %%task_id%% . %%task_title%% . %%task_description%%, complete it before the deadline of %%task_deadline%%

And an overdue task message can be like this:

The task is now overdue %%task_id%% . %%task_title%% , %%task_description%% .
It should have been completed before %%task_deadline%%. Hurry up!
3) Turn the Activity switcher on.

Set up notifications for stores

Once you have activated notifications, you should specify a Telegram chat ID for each store that should be receiving notifications.

1) Navigate to Administration/Organizational Structure/Stores.

2) Click on an object in the list to open the settings.

3) Navigate to the Integration tab.

4) Enter your Telegram chat ID.

Special aspects of notifications
  • If two or more users are assigned to one task in a store, only one notification message will be sent.
  • If there are too many pending notifications, their delivery will be delayed for a short period of time.
  • There is a limit of 20 notification messages per minute for each chat.
  • Telegram notifications are available for general tasks, photo reports, and surveys. Notifications on issues found during inspections will not be sent.
